Talent & Operations Coordinator

Location: Manchester City Centre (Full-time, office-based role)

Company: Expo Stars Interactive Ltd

Reporting to: Managing Director

Salary: Competitive, dependent on experience

Be Part of the Team Behind Successful Global Exhibitions

Are you a natural organiser who enjoys juggling multiple projects, solving problems and making things happen? Do you thrive in a fast-paced environment where no two days are the same?

At Expo Stars Interactive, we're looking for a proactive and enthusiastic Talent & Operations Coordinator to join our team and help coordinate the successful delivery of exhibition projects around the world.

As we enter an exciting phase of business growth, we're looking for someone who can support our expanding portfolio of projects, manage our international network of freelance engagement professionals and help keep our day-to-day operations running smoothly.

This is a varied, hands-on, office-based role combining project coordination, talent recruitment and operational support, with the opportunity to get involved in wider business initiatives.

We're a small, ambitious business, so we're looking for someone who enjoys responsibility, takes initiative and isn't afraid to roll up their sleeves. You'll have the opportunity to make a real impact, develop your skills and grow alongside the company.

What You'll Be Doing

Project Coordination

  • Coordinate the end-to-end delivery of exhibition and live event projects, from internal project handover through to post-event follow-up.
  • Organise project timelines, staffing requirements, schedules and key deliverables to ensure events run smoothly.
  • Work closely with the Managing Director and Strategic Partnerships Manager to translate confirmed client requirements into actionable delivery plans.
  • Liaise with clients, freelance event professionals and external suppliers on operational matters, ensuring everyone is aligned and prepared.
  • Monitor project progress, anticipate potential challenges and proactively help resolve issues.
  • Provide remote operational support during live events, responding to queries and resolving any issues that arise.
  • Support post-event reporting, performance reviews and continuous improvement.

Talent Recruitment & Management

  • Recruit, source and onboard high-quality event engagement specialists for projects worldwide.
  • Coordinate talent selection, bookings, scheduling and availability based on event requirements.
  • Build and maintain strong relationships with our international network of freelance professionals.
  • Ensure event staff are fully briefed, prepared and equipped to deliver excellent client experiences.
  • Support talent performance reviews, feedback and ongoing development of our freelance network.
  • Help identify opportunities to strengthen our talent pool in existing and emerging markets.

Operations & Business Support

  • Support the day-to-day running of business operations, keeping projects, processes and administration organised.
  • Maintain accurate records, project documentation, talent databases and internal systems.
  • Assist with project budgets, supplier coordination, invoicing information and operational reporting.
  • Identify opportunities to improve internal processes, systems and ways of working.
  • Work collaboratively across the business, supporting colleagues and contributing wherever needed.

Wider Business Support

As part of a small, collaborative team, you'll also have the opportunity to contribute to wider business initiatives. Depending on your interests and skills, this may include supporting marketing activity, gathering event content, preparing case studies or assisting with internal projects.

What We're Looking For

We're looking for someone who has gained some practical experience and is ready to take the next step in their career.

You don't need to have done everything on this list. More important is your attitude, ability to learn and willingness to take ownership.

Ideally, you'll bring:

  • Previous experience in events, project coordination, recruitment, staffing, hospitality operations or a similar fast-paced environment.
  • Excellent organisational and time management skills, with the ability to juggle multiple projects, deadlines and competing priorities.
  • Excellent communication and interpersonal skills, with confidence working with clients, colleagues and freelance professionals.
  • A proactive, self-starting attitude — someone who spots what needs doing, takes initiative and follows things through.
  • Strong problem-solving skills and the ability to remain calm, resourceful and solutions-focused when challenges arise.
  • Great attention to detail and a commitment to delivering high standards.
  • Confidence using Microsoft Office and digital systems, with the ability to learn new platforms quickly.
  • A flexible, collaborative mindset and a willingness to get involved in different aspects of the business.

It would be a bonus if you have:

  • Experience working in exhibitions, live events, experiential marketing or event staffing.
  • Previous involvement in freelance recruitment, talent booking or resource scheduling.
  • Experience using project management tools, CRM systems or talent databases.
  • An interest in marketing, content creation or wider business development.

A degree in events, business, marketing or a related discipline would be welcome, but relevant practical experience is equally valued.
