On Behalf of Arup, we are looking for a Team Coordinator for a 12 month contract based in Manchester. Hybrid with 3 days per week on-site.
Purpose of the role
We're looking for an experienced Team Coordinator to provide high-quality administrative and operational support across Arup's Environment and Climate Services team.
You'll play a key role in keeping the team organised and running smoothly, coordinating day-to-day activities, supporting projects and stakeholders, producing professional documents and presentations, and helping with business development activities.
What you'll do
- Coordinate meetings, diaries, schedules and day-to-day team activities.
- Produce, proofread and edit high-quality documents, reports and presentations in line with brand standards.
- Support bids and PQQs, including preparing CVs, project sheets and supporting documentation.
- Support project teams with administrative and operational requirements.
- Coordinate holidays, absences, wellbeing activities and changing team requirements.
- Support new starters and coordinate inductions to ensure a smooth onboarding experience.
- Organise internal social activities and client events.
- Create and maintain training trackers, records and shared team information.
- Arrange meeting rooms, audiovisual requirements, refreshments and other meeting logistics.
- Work collaboratively with multiple stakeholders and proactively gather the information needed to keep activities moving.
- Use CRM and Microsoft 365 tools to support efficient ways of working and share best practice across the wider Business Operations team.
The Skills you'll need
- Strong previous experience in team coordination, administration, business support or a similar role.
- Excellent organisational skills with the ability to manage multiple priorities and stakeholders.
- Strong Microsoft 365 skills, particularly PowerPoint, Excel, Teams and SharePoint.
- Experience producing polished presentations, reports and other professional business documents.
- Excellent written and verbal communication skills, with strong proofreading and editing capability.
- A proactive, personable and collaborative approach with the ability to build relationships quickly.
- Confidence supporting meetings, events, schedules, trackers and general team administration.
- An interest in using digital tools, including Microsoft Copilot, to improve processes and ways of working.
- Previous bid, PQQ or business development support experience would be advantageous.
- Experience within professional services, engineering, construction or consultancy environments would be beneficial.
- An NVQ in Administration or a similar administrative or secretarial qualification would be desirable but is not essential.
