We are looking for an administrator to support outreach events and activities in the Faculty of Science and Engineering (FSE). This is an exciting, varied role where you will help our staff and students share their research and studies with young people and other members of the public in order to make positive changes in our local communities.

About the team

You’ll be based in FSE’s social responsibility team (currently four people), working for the Outreach Manager. Social responsibility is one of the University’s three core areas, along with excellence in teaching and research. In addition to outreach, the team also works on environmental sustainability, EDIA (equality, diversity, inclusion and accessibility) and civic engagement.

About outreach

We define outreach as activity by our staff and students to engage with people outside the University for reasons other than student recruitment or business engagement. One of our key aims is to make sure that anyone with the interest and aptitude to study science or engineering at The University of Manchester has the opportunity to apply. This means working with young people (and their teachers and parents) before they make subject choices that could limit their future study. We have a programme of activities where academics, researchers and students work with primary and secondary schools, and the wider social responsibility team engages families through events like ScienceX.

About the role

You’ll have a key role in making sure our events and activities run smoothly. This will include: creating and distributing publicity materials; making and maintaining online booking forms; liaising with teachers to provide information on travel, timetables etc. and coordinating accessibility requests; scheduling and managing volunteers and student ambassadors (including organising their travel for off-campus events); ensuring risk assessments are completed; booking rooms, catering, parking, AV, etc.; ordering consumables or other equipment; creating and printing badges or lanyards; arranging for the setup of event spaces; providing support during the actual events; supporting monitoring and evaluation.

You’ll also provide day to day administrative support to the Outreach Manager, including procurement and answering email queries from teachers and others.

We are looking for someone with good communication skills; someone who is able to communicate and build positive working relationships with a variety of people, both inside and outside the University. You will need to be very organised with strong digital/IT skills, the ability to keep track of different projects and deadlines, and a calm manner to deal with any unexpected issues.

Interviews are expected to be held Thursday 15th December 2022.

Please note that you will occasionally be expected to work at events scheduled during the weekend, outside normal working hours, and/or in the school holidays.
