Invisible Systems

Job Title: Operations Co-Ordinator

Reports to: Customer Operations Manager

You will run stock control day to day, covering goods in, stock locations, cycle counts, adjustments and reconciliation against our system. You will be the main contact for our suppliers, and the person customers and colleagues turn to when they ask where an order is. You will also own the returns process, from the moment a customer reports a return to the point the stock is back in inventory, replaced or written off.

The work is split between desk-based purchasing and stock records, and hands-on work in the warehouse and dispatch area. You will own your area end to end and work without close supervision.

Key Responsibilities:

Stock Control

·       Oversee our Business Central stock management system, ensuring stock accuracy and lead times can be met

·       Raise and own purchase orders from request to delivery, balancing availability against cost and cash.

·       Act as the day-to-day contact for suppliers. Chase deliveries, confirm lead times, and resolve shortages, damaged goods and incorrect shipments.

·       Track supplier performance on delivery, accuracy and quality, and hold suppliers to account when they fall short.

·       Give colleagues and customers clear and honest updates on expected delivery dates.

Returns Management

·       Own the returns process from start to finish, from a customer reporting a return to the stock being back in inventory, replaced or written off.

·       Log every return in our ticketing system, keep each one moving, and close it once it is resolved so that none sit open.

·       Receive returned items, inspect and test them, and grade each one as usable, needing refurbishment or scrap.

·       Arrange refurbishment where needed and update stock records when items go back into inventory.

·       Keep customers informed about the progress of their return and answer their queries.

·       Record the reasons for returns, spot repeat faults, and report them to the Customer Operations Manager and the Production Engineer so the causes get fixed.

Final Mile

·       Identify opportunities to improve stock accuracy, supplier performance, and fulfilment efficiency.

·       Oversee outbound deliveries to customers and field engineers, checking accuracy and quality before anything ships.

·       Answer customer and internal queries about orders, delivery and stock availability, by email and phone, and follow each one through to a result.

·       Support fulfilment when volumes are high.

Skills and Qualifications:

·       Relatable experience in a similar stock, or operations role, ideally within a manufacturing, hardware, or IoT environment

·       A genuine self-starter who owns their area with minimal oversight and brings a supervisory mindset to how they work, even without direct reports.

·       A dynamic and organised individual who is willing to get involved in supporting an array of customer needs

·       Comfortable working with data to make stock and purchasing decisions.

·       Experience using MS Business Central is advantageous
