Job Title: Recruitment Coordinator

Reporting to: People and Ops Director

Department: Operations

About Neemar Search

Neemar Search is an executive and non-executive search firm specialising in the housing sector. We work on permanent and interim appointments, partnering closely with clients to deliver well-run, insight-led search processes.

Founded in 2023, the business has grown quickly through a focus on quality delivery, strong relationships, and deep sector knowledge. We operate as a small, collaborative team with clear standards and a long-term view of how our partnerships can have a lasting impact on our sector.

Role Overview

The Recruitment Coordinator sits within the Operations team, working closely with the Delivery team and Consultants to ensure search assignments are delivered efficiently, professionally and to agreed timelines.

The role focuses on the coordination and operational management of live assignments, supporting the team with candidate documentation, interview scheduling, project milestone tracking, expenses and general assignment administration. By maintaining accurate records, anticipating upcoming requirements and ensuring key activities are completed on time, the Project Coordinator helps deliver a seamless experience for both clients and candidates.

This is an excellent opportunity for someone who is highly organised, detail-oriented and enjoys bringing structure to a fast-paced environment. The role offers exposure to executive search, the social housing sector and senior-level recruitment processes, with opportunities to develop broader operational and project management skills as the business grows.

Key Responsibilities

Project Coordination & Delivery

  • Coordinate the operational requirements of live search assignments, ensuring key activities and milestones are planned, tracked and completed to agreed deadlines.
  • Prepare, format and quality-check candidate CVs, profiles, reports, presentations and other client-facing documentation to a consistently high standard.
  • Support the preparation and coordination of candidate shortlists, interview packs and client update materials.
  • Identify opportunities to improve assignment coordination, consistency and operational efficiency.

Candidate & Interview Coordination

  • Coordinate candidate interviews, ensuring diaries, availability, meeting invitations and joining instructions are managed accurately and efficiently.
  • Manage interview changes and scheduling challenges promptly, keeping all relevant stakeholders informed.
  • Support the preparation and distribution of candidate briefing materials and interview documentation.

Operational & Administrative Support

  • Provide day-to-day operational support to the Delivery team, helping ensure administrative requirements are completed accurately and on time.
  • Coordinate assignment-related expenses, ensuring submissions, supporting information and records are complete and processed in line with internal procedures.
  • Maintain accurate and up-to-date information across the CRM and other business systems, ensuring records, documents and assignment activity are properly maintained.
  • Ensure documentation and candidate information are handled confidentially and in accordance with GDPR and internal policies.

Teamwork & Continuous Improvement

  • Build strong working relationships across Operations, Delivery and Consulting, providing a responsive and reliable point of support.
  • Communicate clearly and promptly, escalating issues where necessary and keeping colleagues informed of progress.
  • Contribute ideas to improve processes, templates, systems and ways of working as Neemar continues to grow.
  • Demonstrate flexibility and a willingness to support the evolving needs of a small, ambitious business.

What We’re Looking For

  • Experience in an administrative, coordination, project support, recruitment support or operations role; experience within recruitment or executive search would be beneficial, but is not essential.
  • Excellent organisational skills, with the ability to manage multiple tasks, competing priorities and deadlines.
  • Strong attention to detail and a commitment to producing accurate, high-quality work.
  • A proactive and dependable approach, with the confidence to take ownership, follow up on actions and anticipate what needs to happen next.
  • Strong written and verbal communication skills, with a professional and approachable manner when dealing with candidates, clients and colleagues.
  • Confidence using business systems and Microsoft Office, particularly Outlook, Word and Excel, with the ability to learn new technology quickly.
  • Good judgement when handling confidential information and sensitive candidate or client documentation.
  • A collaborative mindset, with a genuine desire to support others and contribute to the success of the wider team.
  • The ability to work at pace in a growing business, maintaining high standards while adapting to changing priorities.

What Success Looks Like

  • Search assignments are well organised, with key milestones and deadlines clearly tracked and achieved.
  • Candidate documentation and client-facing materials are accurate, consistent and professionally presented.
  • Interviews and candidate communications are coordinated efficiently, delivering a positive candidate experience.
  • CRM records, assignment information and operational administration are maintained accurately and consistently.
  • The Delivery team has reliable operational support, allowing consultants to focus on research, candidate engagement and successful assignment delivery.
  • Potential issues are identified early, actions are followed through and opportunities to improve ways of working are proactively identified.
