About The Role And Team

As our Contractor Operations Coordinator, you'll own the day-to-day administration of our contractor workforce, from offer through to offboarding.

You'll be the main point of contact for our contractors and the third-party suppliers we work with. You'll sit within our Talent team and work closely with Casting, People, Finance and Delivery colleagues. It's a hands-on role for someone who is highly organised, loves getting the detail right and enjoys building great relationships.

What You’ll Be Doing

Offers and contracts

  • Prepare and issue contractor offers, contracts, statements of work and extensions.
  • Track contract end dates and prompt hiring managers on extensions or roll-offs in good time.
  • Keep contractor records accurate and up to date in our systems.

Onboarding and offboarding

  • Coordinate a smooth start for every contractor, including equipment, system access, inductions and any client-specific onboarding.
  • Manage leavers, making sure access is removed, kit is returned and final timesheets and invoices are closed off.

Timesheets, invoicing and payroll support

  • Collect, chase and approve weekly or monthly timesheets.
  • Reconcile timesheets against supplier invoices and resolve any discrepancies.
  • Work with Finance to make sure contractors and suppliers are paid accurately and on time.

Compliance

  • Run pre-engagement checks, including right to work, ID, references and any client-required background or security vetting.
  • Support IR35 status assessments, issue Status Determination Statements and keep an audit trail of decisions.
  • Check that limited company details, insurances and supplier documentation are in place and up to date.
  • Make sure contractor data is handled in line with GDPR.

Supplier and agency management

  • Be the day-to-day contact for our third-party suppliers, agencies and umbrella companies.
  • Support onboarding of new suppliers and help keep our preferred supplier list in good shape.
  • Monitor supplier performance against agreed terms and raise issues early.

Contractor care

  • Be the friendly, go-to contact for contractor questions and queries.
  • Help contractors feel part of CreateFuture, including inviting them to relevant events and communications.
  • Gather feedback on the contractor experience and suggest improvements.

Reporting and process improvement

  • Maintain accurate contractor data and produce regular reports on headcount, spend, contract end dates and compliance.
  • Spot opportunities to simplify and automate our processes, including using AI tools where they help.
  • Keep our contractor policies, templates and process documentation up to date.

We'd Love To Talk To You If You

  • Have 2+ years' experience in contractor administration, contingent workforce, HR or People operations, recruitment operations or a similar role.
  • Have worked with contractors, temps or freelancers and understand the basics of the contractor lifecycle.
  • Have a working knowledge of IR35 and right to work checks, or are keen to build it.
  • Are highly organised, with great attention to detail and the ability to manage a busy, deadline-driven workload.
  • Communicate clearly and confidently with contractors, suppliers and internal teams.
  • Are comfortable with numbers, timesheets and spreadsheets, and confident using HR, ATS or timesheet systems.
  • Handle confidential information with care and discretion.
  • Take a proactive, problem-solving approach and enjoy improving how things work.
