Role - Medical Secretary / Medical Administrator
Location: Fully Remote (Ideally Northwest)
Hours – 37.5 – Monday-Friday – (Can be flexible on hours)
Salary: £25,500- £27,500 (Dependent on Experience)
Type – Permanent
Reed are currently working with a well-established and rapidly growing healthcare provider delivering insourced services to NHS Trusts by providing additional clinical capacity through insourcing services designed to reduce patient waiting times and improve access to healthcare.
Working alongside Consultants, Clinicians and NHS teams, the organisation deliver specialist clinics and diagnostic services that support patients on their healthcare journey.
As part of continued growth, they are looking to appoint x2 Medical Secretary / Medical Administrator to support our Operations Team by ensuring the smooth administration of clinics and effective management of patient pathways.
The Role
You will liaise directly with Consultants and Doctors following clinic completion to obtain medical reports, clinic outcomes and patient notes. You will then upload and maintain accurate records across NHS and hospital systems, monitor outstanding results and ensure patients are kept informed of next steps within their treatment pathway.
This role requires exceptional attention to detail, strong administrative skills and the ability to manage multiple priorities within a fast-paced healthcare environment.
Key Responsibilities
- Liaise with Consultants, Clinicians and Doctors following clinic completion to obtain clinic outcomes, reports and medical documentation.
- Chase and track outstanding reports to ensure all patient records are completed in a timely manner.
- Upload and maintain accurate patient information across NHS and hospital systems.
- Manage post-clinic administration and ensure all required documentation is processed correctly.
- Monitor patient pathways from clinic attendance through to diagnosis, treatment and discharge.
- Track diagnostic tests, referrals and patient results, ensuring all actions are completed within agreed timescales.
- Contact patients regarding appointment outcomes, results and next steps where appropriate.
- Work closely with Operational Coordinators and NHS stakeholders to ensure clinics are fully completed administratively.
- Maintain accurate records and audit trails in line with NHS, GDPR and information governance requirements.
- Escalate any delays, outstanding actions or patient care concerns appropriately.
- Support the wider Operations Team with administrative duties as required.
Skills & Experience Required
- Previous experience in a Medical Secretary, Medical Administrator, Healthcare Administrator or Patient Pathway Coordinator position.
- Experience working within the NHS, private healthcare or a medical environment.
- Strong understanding of patient administration processes and confidentiality requirements.
- Experience managing clinical documentation, medical reports and patient records.
- Excellent organisational and diary management skills.
- High level of attention to detail and accuracy.
- Confident communicating with Consultants, Clinicians, Patients and NHS stakeholders.
- Strong IT skills and experience using patient management systems.
