Are you an organised, proactive and detail-focused administrator looking for a role at the heart of a busy executive office?

Our client is seeking a highly capable Director's Office Operations Officer to support the effective running of the Director's Office.

This is a varied and visible role where you will work closely with the Executive Assistant (EA) to the Director, providing high-quality administrative and coordination support that helps ensure priorities are delivered efficiently and professionally.

About the Role

As Director's Office Operations Officer, you will play a key role in maintaining the smooth day-to-day operation of the Director's Office. You will take ownership of administrative activities, coordinate meetings and events, manage office processes and ensure agreed actions are followed through accurately and on time.

Working alongside the EA, you will help create the organisational infrastructure that enables the office to operate efficiently, allowing the EA to focus on strategic priorities, relationship management and forward planning.

Key ResponsibilitiesAdministrative Support
  • Act as the first point of contact for day-to-day office administration queries.
  • Provide comprehensive administrative support to the EA to the Director.
  • Coordinate and complete agreed administrative tasks accurately and within deadlines.
  • Maintain office systems, records, trackers, filing systems and administrative processes.
  • Prepare, organise and distribute correspondence, presentations, reports and office materials.
  • Ensure information is maintained and readily accessible.
Meeting & Event Coordination
  • Coordinate meeting logistics, including venues, technology, attendees and documentation.
  • Support Director-level meetings, ensuring rooms, catering, refreshments and visitor arrangements are in place.
  • Monitor bookings and arrangements to ensure meetings run seamlessly.
  • Set up and maintain recurring meetings and invitations.
  • Collate and distribute meeting papers and supporting materials.
  • Maintain action logs and proactively follow up on actions and deadlines.
  • Support the planning and delivery of events, workshops, away days and Institute activities.
About You

We are looking for a highly organised and professional administrator with excellent attention to detail and the ability to manage multiple priorities.

You will ideally have:

  • Previous experience providing high-level administrative or office support.
  • Excellent organisational and coordination skills.
  • Strong written and verbal communication abilities.
  • Experience arranging meetings, events and complex logistics.
  • The ability to work independently whilst supporting senior stakeholders.
  • A proactive approach with strong problem-solving skills.
  • Excellent IT skills, including Microsoft Office applications.
  • The ability to maintain confidentiality and handle sensitive information professionally.
