Office Supervisor – Manchester City Centre
Mon to Fri, Full Time, 35 Hours Per Week
Up to £34,500 DOE + competitive benefit package
A leading organisation has an exciting opportunity for an experienced office services professional to support the efficient and smooth operation of the office. The role will be responsible for coordinating day-to-day office and facilities requirements, supporting the team, managing suppliers and stakeholders, and ensuring a consistently high standard of service and client experience across the business.
Responsibilities as Office Supervisor include:
- Ensure the efficient, smooth and professional day-to-day operation of the office, maintaining a welcoming, well-presented and fully functional working environment.
- Liaise with staff, clients, contractors and suppliers to coordinate office, facilities and operational requirements.
- Lead, coach and develop team members through training, performance and development reviews, objective setting and regular one-to-ones, while managing rotas, holiday and absence records to ensure effective staffing and operational cover.
- Manage office administration and purchasing activities, including invoices and payments, spreadsheets and records, stationery, office supplies, refreshments and consumables.
- Coordinate office functions, events, meeting room and hospitality requirements, as well as supporting office moves, relocations and associated logistics.
- Maintain accurate records and documentation in line with legislative, health and safety and internal requirements, including permits and risk assessments, and act as a designated First Aider.
- Provide Front of House support when required, including welcoming visitors, maintaining visitor records, issuing guest passes, assisting with mail distribution and providing switchboard support.
Essentials for Office Supervisor:
- Previous management or supervisory experience, and experience in office services, facilities or operational management.
- Strong awareness of operational, workplace and health and safety risks, with the ability to identify and escalate concerns appropriately.
- Excellent organisational and time-management skills, with the ability to manage multiple priorities effectively.
- Strong communication and interpersonal skills, with the confidence to communicate professionally at all levels.
- Strong attention to detail, with a proactive and professional approach to work.
- Ability to work effectively under pressure, prioritise competing demands and communicate priorities clearly with colleagues.
- Good IT skills, with confidence using a range of Microsoft Office and other relevant software packages.
- Adaptable and responsive to changing business needs, priorities and working environments.
