Reed are working with a well established and rapidly growing healthcare provider delivering insourced elective and diagnostic services to NHS Trusts across the UK. The client works in partnership with hospitals to reduce waiting lists by providing high quality consultant-led clinical services across a range of medical and surgical specialties.

Due to continued expansion, they are looking to recruit an enthusiastic and highly organised Operations Administrator to support our Operational Team in the day to day delivery of services.

The Role

This is a varied and fast paced administrative role supporting the mobilisation and delivery of NHS clinical services. You will work closely with consultant doctors, NHS operational teams and the senior management team to coordinate clinical activity and ensure services run efficiently.

Key Responsibilities

  • Coordinate and book consultant doctors into clinical sessions.
  • Liaise with consultant doctors to obtain availability and manage workforce rotas.
  • Build and maintain positive relationships with consultant clinicians and NHS operational teams.
  • Communicate with NHS Trusts to understand service requirements and support service planning.
  • Support the mobilisation of new NHS contracts and clinical services.
  • Attend regular virtual operational meetings with NHS partners and internal teams.
  • Provide administrative support to the Senior Operational Manager and Directors.
  • Monitor and manage shared inboxes, responding to enquiries promptly and professionally.
  • Maintain accurate workforce, clinic and operational records.
  • Assist with the production of reports, spreadsheets and service documentation.
  • Support day to day operational problem solving and escalation where appropriate.
  • Undertake general administrative duties to support the wider Operations Team.

Person Specification

Essential

  • Previous experience in an administrative or coordination role.
  • Excellent organisational and time management skills.
  • Strong verbal and written communication skills.
  • Ability to prioritise multiple tasks in a fast paced environment.
  • High level of accuracy and attention to detail.
  • Proficient in Microsoft Office, particularly Outlook, Excel, Word & Sharepoint.
  • Ability to work independently in a fully remote environment.
  • Professional, approachable and confident communicating with senior stakeholders.

Desirable

  • Previous experience working within healthcare, preferably the NHS or an independent healthcare provider.
  • Experience coordinating clinical services or medical workforce rotas.
  • Experience working with consultant doctors or other healthcare professionals.
  • Knowledge of NHS operational processes and elective care pathways.
  • Experience using scheduling or workforce management systems.
