As our business continues to grow, we are seeking a highly organised and professional Personal Assistant to support our Operations Director and help ensure the smooth running of daily business activities.


What we are looking for?

The Personal Assistant will provide comprehensive administrative and organisational support to the Operations Director, helping manage priorities, coordinate communications, organise meetings, and assist with operational projects. This role requires exceptional organisational skills, attention to detail, and the ability to work effectively in a fast-paced environment.


Key Responsibilities

Executive Support

  • Manage the Operations Director's diary, appointments, and travel arrangements.
  • Screen and prioritise emails, phone calls, and correspondence.
  • Prepare meeting agendas, presentations, reports, and documentation.
  • Take minutes during meetings and track actions to completion.
  • Organise internal and external meetings, site visits, and events.


Operations Support

  • Assist with the coordination of site operations.
  • Prepare and finalise operational reports and compliance paperwork.
  • Monitor deadlines and ensure key tasks are completed on time.
  • Support communication between departments including operations, logistics, compliance, sales, and finance.
  • Assist with customer and supplier correspondence on behalf of the Operations Director.


Administration & Compliance

  • Maintain accurate records, filing systems, and confidential documents.
  • Prepare and manage business documentation, contracts, and operational paperwork.
  • Support compliance-related administration, including environmental and quality management records.
  • Ensure company documents are stored securely and updated as required.


Communication & Stakeholder Management

  • Act as a professional point of contact for clients, suppliers, and business partners.
  • Build strong working relationships across the business.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Assist with preparing communications and business updates.


Requirements

Essential

  • Previous experience as a Personal Assistant, Executive Assistant, or Senior Administrator.
  • Excellent organisational and time-management skills.
  • Strong verbal and written communication abilities.
  • Advanced Microsoft Office skills, particularly Outlook, Word, Excel, and PowerPoint.
  • Ability to manage multiple priorities and work under pressure.
  • High level of professionalism, discretion, and confidentiality.
  • Strong attention to detail and problem-solving skills.


Desirable

  • Experience supporting a senior manager or director within operations, logistics, recycling, waste management, manufacturing, or a related sector.
  • Experience preparing management reports and presentations.
  • Knowledge of environmental compliance or regulated industries.
  • Project coordination experience.
