To get there, Amazon's Shipping and Delivery Support (SDS) Customer Service department is looking for a driven, bright, and motivated individual with a history of high performance and delivering results to support our organization. This role requires attention to detail, solid organizational skills, and the ability to meet tight deadlines while juggling multiple critical requests across global teams. The Executive Assistant will act as a seamless extension of the Directors supported and will work closely with other Executive Assistants throughout the organization. The ideal candidate must be able to manage multiple priorities, skilled at problem solving and is an experienced planner with the demonstrated ability to respond effectively and efficiently while maintaining flexibility, composure and humor.

The individual in this role must understand business priorities, demonstrate the ability to proactively anticipate needs and drive improvements to build capacity for the leadership team. A high level of integrity and discretion in handling confidential information as well as professionalism in dealing with senior executives inside and outside of the company is critical. The successful candidate will possess the ability to complete complex tasks quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the whole picture. The ideal candidate must be able to work successfully in a team environment and build effective working relationships inside and outside the group.

As an Executive Assistant, you will enjoy a varied role and a great range of interactions on a daily basis. Reporting to an SDS Director in Europe, you will play a critical role in the overall support and management assistance to the site and its leadership community. Whatever you will focus on, it will all be aimed at delivering the highest quality service to our internal and external customers.

Key job responsibilities

The extent of your duties will include but are not limited to:

  • Provide executive support to two senior SDS leaders based in Europe
  • Be responsible for the overall direction and coordination of the team’s administration.
  • Work closely with support staff to build, co-ordinate and secure support and resources for projects and initiatives.
  • Interact with Amazon counterparts on a global basis to arrange meetings, conference calls, diary schedules etc.
  • Organise site employee events e.g. quarterly events including managing budgets and deadlines and general event/coordination activities.
  • Prepare minutes of meetings and assist with the follow up actions from meeting outcomes.
  • Travel booking and co-ordination, submission of expense claim
  • Coordinate AMZL operations visits on behalf of the senior leaders supported.
  • Develop presentations and agendas for site visits, quarterly organisation meetings.

Basic Qualifications

  • Experience in senior level leadership support, or experience at Amazon
  • Experience with Microsoft Office products and applications
  • Experience with executive level calendar management
  • Experience with domestic or international travel coordination

Preferred Qualifications

  • Experience in a fast-paced, high-tech company
  • Experience managing multiple calendars
